Welcome to Access Africa. Please read these Terms and Conditions carefully. By booking a tour, making a payment, or using our services, you agree to be bound by this agreement.


1. Our Role as Your Travel Advisor

Access Africa Inc. ("The Company") acts solely as a booking agent for disclosed principal suppliers, including airlines, hotels, ground transporters, and tour operators. By booking with us, you acknowledge that the final provision of travel services is the responsibility of these third-party suppliers. Access Africa is not liable for any injury, loss, or damage caused by the acts or omissions of these suppliers.

2. The Non-Refundable Professional Consultancy Fee

To initiate the professional research, logistics planning, and securing of international vendor space for your itinerary, a mandatory Deposit is required at the time of booking.

  • Designation of Funds: 100% of the initial Deposit is designated as a Non-Refundable Professional Consultancy & Planning Fee.
  • Earned Service: This fee is considered fully "earned" upon receipt. It covers the immediate labor and professional expertise required for custom itinerary design, vendor negotiations, and administrative overhead.
  • Non-Refundability: Because these professional services are rendered at the time of booking, the Deposit is 100% non-refundable and non-transferable from the moment of payment, regardless of the reason for cancellation or the policies of third-party suppliers. This remains true even in cases of Force Majeure.

3. Payment Schedule

To maintain reservations with international suppliers and African partners, the following mandatory schedule applies:

At Booking Deposit (100% Non-Refundable Consultancy Fee)
90 Days Before Start 50% of Remaining Balance
60 Days Before Start 100% Final Balance Due

Failure to meet payment deadlines may result in automatic cancellation of your tour without a refund.

4. Cancellation & Refund Schedule

Because funds are committed to international vendors and African partners months in advance, we strictly adhere to the following refund policy based on the date of written cancellation notice:

Days Before Departure Refund Amount
91+ Days Full refund of payments made EXCLUDING the 100% Non-Refundable Deposit.
61 – 90 Days 50% of total tour cost is non-refundable.
60 Days or Less 100% of total tour cost is non-refundable.

5. Mandatory Travel Insurance

Due to the complex nature of international travel, Access Africa Inc. requires all guests to purchase comprehensive travel insurance.

  • We strongly recommend "Cancel for Any Reason" (CFAR) coverage.
  • Access Africa Inc. is not responsible for any financial loss, medical emergencies, or trip interruptions resulting from a guest’s failure to secure adequate insurance.

6. Force Majeure (Acts of God)

Access Africa Inc. shall not be liable for any circumstances beyond our reasonable control, including but not limited to: Acts of God, war, terrorism, strikes, civil unrest, government restrictions, or pandemics. In such events, Access Africa will make every effort to provide travel credits or reschedule the tour. However, because funds are often pre-paid to international vendors, cash refunds are not guaranteed in Force Majeure situations.

7. Credit Card Policy & No-Chargeback Agreement

By providing payment through our secure portal and agreeing to these terms, the traveler expressly agrees:

  • Authorization: To authorize Access Africa to charge the agreed-upon amounts.
  • No-Chargeback Guarantee: Not to initiate a "chargeback" or dispute with their credit card provider for any non-refundable fees or cancellation penalties outlined above.
  • Reimbursement: If a dispute is initiated and found in favor of Access Africa, the traveler agrees to reimburse the Company for all legal fees and administrative time spent defending the claim at a rate of $180 per hour.
