DOCUMENTS REQUIRED: A valid passport with a minimum of 6 months validity is required for all international travel. When visa are required for entry into a particular country, a passport plus necessary forms will be needed to process visas. All group visas will be requested on a one time basis by Access Africa(AA) prior to the group departing. For late comers or individual travelers, visa applications will be handled by the individual travelers. No refund will be made to any passenger whose participation is limited or denied due to failure in obtaining required passports and/or visas. ALL AIRLINE TICKETS MUST BE ISSUED AS NAMES ON THE PASSPORT. Traveler will be financially responsible for name changes if the correct name was not given on booking.
HEALTH REQUIREMENTS: All passengers are expected to check to comply with immunizations and medicines required for travel to an international destination. No passenger will be refunded any monies if they are denied entry into the country because of their failure to follow the guidelines of that particular country
CANCELLATIONS: In addition to any cancellation fees imposed by hotel/ground operator and airlines, all cancellations will be subject to an administrative fee of $50 per person regardless of the nature of the cancellation. Standard cancellation fees, unless otherwise indicated are as follows: 60-31 days 25% of the total tour; 30-15 days 50% and less than 15 days 100%. Refunds are only processed upon receipt of a written request. The postmark of which determines the date of cancellation. Occasionally some tour operators will require that all payments and deposits are nonrefundable. If this occurs with your travel program, Access Africa, will advise prior to applying any refunds to your account. Travel Insurance is highly recommended to protect your funds.
RATES: Rates are based on current tariffs and are subject to change without notice. For groups the minimum size is 15 passengers. If the number of persons traveling falls under 15, the tour program will be re-evaluated. If the tour is cancelled for lack of participation all monies will be refunded with exception of the administrative fee. If the group members decide to go ahead with the tour, each traveler will be assessed additional monies to cover added expenses. All rates are guaranteed only upon full payment and they can change without notice subject but not limited to the fluctuation of foreign currency rates, airline increases, fuel surcharges and government fees.
USED TOUR PORTION: There is no refund value for unused portions of the tour package features unless cancelled by the Ground Operator. No refunds after departure in the case of “No Show” or “last Minute Changes”
TOUR PARTICIPANT RESPONSIBILITIES: It is the responsibility of all tour participants to arrive on time to all scheduled activities/events/tours. If a tour member arrives late and misses any mode of transportation required in the tour program, it will be the individual tour member’s responsibility to financially assume whatever travel arrangements required to meet the group at the next destination. No refunds for any unused portion is allowed due to missed flights or any activity associated with the tour program.
AIRLINE FARES: Airline fares are subject to change without notice. Fares are only guaranteed upon final payment and ticketing. Any changes will result in a fluctuation of tour rate. Most tickets are nonrefundable, accurate information must be provided prior to issuance. Any changes thereafter will be the traveler’s responsibility if changes are required.
BAGGAGE: Baggage is at the travelers’ own risk throughout the tour. Any loss or delay must be settled directly with the airline. Civil Aeronautics Board(CAB) regulations require that all baggage have outside ID tags. Contact each airline for their baggage policies
TOUR INCLUSIONS: As specified in the Itinerary. AA reserves the right to change hotels to a comparable star rating if a designated hotel is not available. Items of a personal nature, departure taxes. Phone calls etc. are not included
PAYMENTS: All major credit cards accepted. Credit card authorization form will be forwarded to the individual for signature; 3% surcharge will be added to credit card payments. Check payments should be made payable to Access Africa Inc.
RESPONSIBILITY: AA offering travel arrangements for sale, acts only as an independent agency in securing the services of carefully selected tour operators, air carriers, cruise lines, hotels or other suppliers to fulfill your vacation travel needs. Because of this independent agent status and because we have no control over personnel, equipment or operations of these travel service suppliers, AA shall not be held liable for any personal injury, property damage or other loss incurred as a result of any wrongful or negligent acts, omissions or default on the part of the suppliers
